iLab Usage Policy — SCIF Cleanroom Facility
All users of the SCIF Cleanroom Facility are required to use the iLab system for access, scheduling, and service documentation.
1. Account Setup and Use
All users must create and maintain an active iLab account prior to requesting access, training, or instrument use.
Access is granted only after required approvals are completed.
iLab accounts are individual and must not be shared under any circumstances.
Each user is responsible for all activity under their account.
2. Reservation Requirements
Walk-in usage is not allowed.
All instrument reservations must be made at least one (1) hour prior to the session start time through iLab.
Users are responsible for reserving the correct instrument and booking sufficient time for their work.
3. Training Requirement
Users may only reserve and operate instruments for which they have completed required training and have been approved for independent use.
Booking an instrument does not override training, safety, or operational requirements.
4. Accurate Usage Records
Users must ensure that all reservations, service requests, and usage records in iLab are accurate and up to date.
Any incorrect or missed bookings must be corrected as soon as possible.
Accurate usage includes maintaining a continuous and complete iLab session corresponding to actual cleanroom presence and activity.
5. iLab Session Integrity and Logging Requirements
Users must ensure that their iLab session accurately reflects their physical presence and activity within the cleanroom.
- The iLab session must be started immediately upon entering the cleanroom.
- The iLab session must remain active for the entire duration of work inside the facility.
- The session must only be ended after all work is completed, the user has ungowned, and is ready to exit the cleanroom.
Ending a session prematurely or delaying session start creates inaccuracies in usage records and may interfere with equipment troubleshooting, safety tracking, and facility operations.
Additionally:
- No instrument operation, diagnosis, or troubleshooting is permitted while not actively logged into iLab.
- All activities must be properly recorded in iLab to ensure accurate documentation, safety compliance, and effective issue resolution.
Failure to comply with these requirements will be considered a violation of facility policy.
6. Service and Staff Assistance
Requests for staff support, consultation, or technical assistance should be submitted through iLab when applicable.
Staff are available to assist; however, users remain responsible for their own research work and outcomes.
7. Cancellations and No-Shows
Users must cancel reservations in advance or inform facility staff if unable to attend.
Failure to do so will be considered a no-show. No-shows and late cancellations will be charged at the standard (regular) reservation rate.
Repeated no-shows, late cancellations, or misuse of reservations may result in restricted scheduling privileges.
8. Billing and Recharge
Instrument usage, service charges, and applicable fees are tracked through iLab.
Charges apply based on actual recorded usage time in iLab when sessions are properly logged.
If a reservation is not properly canceled or reported to facility staff, charges will apply based on the reserved time, regardless of actual usage (no-show or late cancellation).
If a session is unsuccessful and subsequent diagnosis by SCIF Cleanroom staff confirms that the issue was due to instrument-related failure (and not user operation or misuse), the corresponding charges may be adjusted or removed at the discretion of facility staff.

Failure to follow iLab procedures may result in:
- Suspension of scheduling privileges
- Restricted facility access
- Delayed access approval or other administrative action
