SCIF CLEANROOM FACILITY
1. Purpose
These guidelines formalize existing SCIF Cleanroom practices related to user interaction, communication, and technical support. These practices have been consistently implemented as part of standard facility operations and are documented here to provide additional clarity, transparency, and consistency for users.
These guidelines do not introduce new requirements; rather, they consolidate and clarify practices that have been consistently applied in user training, communication, and technical support.
These expectations are also aligned with institutional communication principles established by the University, emphasizing clarity, professionalism, accuracy, and accountability in all forms of communication.

These guidelines apply to:
- All SCIF Cleanroom users (students, staff, and faculty)
- SCIF staff and technical personnel

4. Communication Expectations
4.1 Professional Conduct
All interactions within the SCIF Cleanroom are expected to be:
- Respectful
- Professional
- Focused on research objectives and safety
- Free from inappropriate, disruptive, or unprofessional behavior
These expectations are consistent with university-wide standards for respectful workplace communication and professional engagement.
4.1.1 Prohibition of Abusive Conduct
SCIF Cleanroom operations adhere to University of California and UC Merced policies regarding abusive conduct in the workplace.
Abusive conduct includes, but is not limited to:
- Repeated verbal or written conduct that a reasonable person would find hostile, offensive, or unrelated to legitimate research or operational needs
- Behavior that undermines a professional, safe, and respectful working environment
- Intimidation, harassment, or disruptive actions that interfere with facility operations or user access
Such conduct is not permitted within the SCIF Cleanroom environment. All users and staff are expected to maintain a professional and respectful atmosphere consistent with university policies and shared research facility standards.
4.2 Clarity and Transparency
SCIF staff will:
- Clearly communicate:
- Process steps
- Equipment limitations
- Safety requirements
- Provide realistic expectations regarding:
- Process outcomes
- Limitations of materials and systems
In alignment with university communication guidance, information will be conveyed in a manner that is:

4.3 Responsiveness
Staff respond to user inquiries based on:

Consistent with institutional communication expectations, responses will aim to be:

SCIF support includes:
- Training on equipment and standard processes

SCIF support does not include:
- Performing user research on behalf of users
- Fabricating devices for users outside defined services or collaborations
- Full optimization of user-specific research processes
These boundaries ensure clarity of roles and align with best practices for shared research facilities.
4.5 User Responsibilities
Users are expected to:
- Engage professionally with staff and other users
- Follow all training, safety, and facility protocols
- Take responsibility for their research processes and outcomes
- Communicate clearly and respectfully when requesting assistance
Users are also expected to adhere to university communication standards, including:
- Using appropriate and respectful language
- Providing complete and accurate information when seeking support
- Allowing reasonable time for responses based on operational constraints
4.6 Conflict Resolution
If concerns arise:
Users are encouraged to:
- Communicate directly with SCIF staff
- Seek clarification regarding expectations or processes
If needed, concerns may be escalated through:
- SCIF leadership
- ORED administrative channels
Consistent with university practices, concerns should be addressed constructively, with an emphasis on resolution, mutual respect, and maintaining a productive research environment.
4.6.1 Timeliness of Reporting Concerns
Users are encouraged to report concerns or issues as soon as reasonably possible after they arise. As a general guideline, concerns should ideally be communicated within a reasonable timeframe (e.g., within a few days to a few weeks, depending on the nature and complexity of the issue).
Timely reporting supports:
- Accurate understanding of the situation
- Effective troubleshooting and resolution
- Minimization of impact on research and facility operations
Delays in reporting may limit the ability to fully evaluate or address concerns, particularly where conditions, equipment status, or context have changed over time.
5. Consistency and Application
These expectations are:
